Duty station: Phnom Penh, Cambodia. INTRODUCTION Better Factories Cambodia (BFC) is an innovative program which seeks to improve working conditions in the export garment industry in Cambodia. It is based on a model of improvement that includes monitoring for compliance with the Cambodian labour law and core international labour standards, and remediation training, advisory services and capacity building activities. SUMMARY OF KEY DUTIES Under the overall guidance of the project Chief Technical Advisor and under the direct supervision of Finance and Administrative Manager, this position holds key responsibility to support the finance and administration unit in delivering general administrative, procurement, and property management support to the project. General duties- Assist in procurement process. For examples, seeking information from suppliers, negotiating prices, drawing up procurement orders/contracts, ensuring delivery of products and checking accuracy of invoices.- Maintain contact with the contractors (landlord, suppliers, and service companies) to ensure logistic services.- Coordinate with suppliers on office maintenance and repair.- Keep track of all office contractual status and notify supervisor on any renewal of contracts, when required.- Maintain, update and transmit inventory records of non-expendable equipment.- Make travel arrangements, hotel reservations and prepare related administrative forms.- Keep records of private/local/international calls and follow-up on the reimbursement of private calls.- Handle records of postal mail services.- Draft routine correspondence on administrative matters including drafting lease contracts with the project suppliers or external collaboration contracts with service providers.- Assist staff members by processing requests for visas, passports, identity cards, name cards, and other necessary administrative documents.- Assist in the preparation and organization for various events, i.e. meetings, seminars and workshops.- Ensure the best services of the project manual trades (i.e. cleaners, messengers, guards, housekeepers, and drivers).- Perform other duties as assigned by the supervisor.
